This is a Permanent, Full Time vacancy that will close in {x} days at {xx:xx} BST.

This role will be based at Healthcare Ireland’s Head Office, St. Helen’s Business Park, Holywood, BT18 9HQ.

The Role

You will provide professional administrative and secretarial support to four Directors across the Strategy and Operations and Business Development divisions, undertaking a lead role in communications with Commissioners, regulatory bodies and key stakeholders associated with the healthcare sector, for example. NISCC, RQIA, NMC, HSENI etc.

You will be exceptionally organised, able to manage and prioritise multiple, competing electronic diaries, setting up both internal and external meetings in person, as well as via video call, fulfilling requirements as necessary. You will act as the point of contact for the department, responsible for dealing with incoming enquiries, handling all correspondence in a proactive manner, redirecting and recording messages as appropriate.

Due to the nature of the role, you will be exposed to a range of complex and sensitive issues and will therefore, need to act with discretion, maintaining the highest level of confidentiality at all times. You will sort, distribute and respond (or escalate if necessary) to emails/ mail and telephone calls in an efficient and timely manner, maintaining a logical document management system.

Typical responsibilities will include:

  • Drafting and proof-reading documentation on behalf of the Directors
  • Meeting preparation – agenda setting, briefings, hospitality, presentation packs and follow up actions
  • Taking minutes, typing, preparing and collating reports
  • Dairy management, arranging travel and/ or accommodation as required
  • Administrative project support to the wider Senior Management Team

You will need:

  • A minimum of three years’ experience working as a Personal Assistant in a Health and Social Care (or similar) setting.
  • Competent using IT, Job Boards and Social Media, as well as intermediate to advanced level in the Microsoft Office Suite; in particular, Outlook, Excel and Word.
  • Excellent communication skills; verbally and in writing, balancing the ability to work quickly and accurately.
  • Experience collaborating with Senior Management and Director-level individuals across a cross-functional team.
